Fulfilling requests for medical records is a common task for clinical staff. Printing and mailing records can get to be expensive. Even if a requester is charged a fee, employees are spending work time responding to the request.

One solution is to print the patient’s chart to a PDF file. You can use your chart filters to limit what you print. Then, secure the PDF with a password and either email it or burn it on a CD and mail it to the requesting patient or clinic.

If you received a PDF file like this and have ImpactMD, you could (with some advanced settings) import selected items from the PDF without having to print it and scan it.

Following are the simple steps to make medical record requests easier to fulfill:

Step 1: Pull up patient record and filter out what you do not wish to send. You can filter this view by sections, owners, dates and items.

Step 2: Print chart to a PDF printer. This will need to be set up on your print server.

Step 3: Open the PDF and password protect it. You do this in Adobe Acrobat Standard or above.

Step 4: 1) Email or 2) burn to CD and snail mail it to requester.
